Event Profile
Gray Line Worldwide is an association for our licensees. We are comprised of over 110 individually owned and managed companies who license the name and trademark mark from Gray Line Worldwide. These companies that operate as Gray Line around the world, meet each summer or fall for our Annual Meeting & Marketing Conference. The average delegate is the owner or general manager of the local Gray Line company, and they range in age from 30-65 years old, with the average age being around 50.
The main purpose of the meeting is to educate our Licensees around the world on our current and upcoming marketing programs and initiatives, as well as conduct the business of the group (Board elections, Corporate Governance, etc.). The attendees are global in representation and are well-traveled and diverse professionals.

Meeting Specifications/Special Needs
- Submit at least three likely hotel properties (Hotels should be rated at least 4-Diamond and/or 4 Star). Location of the hotel is very important, as we want the best possible hotel in order to enhance the interest of sponsors, and Gray Line Licensees.
- Can a hotel room rate of $175.00 - $199.00 USD per night be obtained?
- Are you willing to provide round-trip complimentary airport transportation for all attendees? Are you willing to provide complimentary, or at you’re cost, tours for spouses and guests attending the convention (day tours)?
- Are you willing to assist GLWW in contracting with local attractions, restaurants, venues, entertainment, etc., nearby that could be used for sponsored day/evening events?
- Are you willing to have your staff assist and help during events and have someone sit with the GLWW staff at the registration desk.
- How would you raise the mandatory $25,000 - $50,000 USD in local sponsorship with your local tourism entities, tourism board, partners etc.?
- Would you accommodate 2-3 GLWW staff to come to your destination and do hotel site visits and off hotel proprieties for special sponsored events? At this time, GLWW could meet and present to all sponsors perspective’s to help reach our sponsorship goals.
- At the Gray Line Convention, we usually display 6-8 motor coaches throughout the week. Typically, they are displayed on site, but if this is not available, we need to locate an off site venue that can accommodate this event. This portion of the convention creates an opportunity for local Motorcoach/Van companies to display coaches to sell to you and other eligible Gray Line Companies, while generating sponsorship dollars for the convention.
- Who within your office would Gray Line work with regarding the Annual Convention? Please provide all contact information for staff involved.
- Please write a cover letter selling your destination, and why we should select your destination for a future Gray Line Annual Convention.
